QGO Business is operated by HONGKONG QGO BUSINESS CO., LIMITED (“QGO”, “we”, “us” or “our”). This Service Scope explains the general nature and boundaries of the China-side business visit execution and coordination services provided by QGO Business.

A specific proposal, agreement, project confirmation or invoice may contain additional or different terms. Where there is a conflict, the specifically agreed project document will take priority over this general Service Scope.

1. Our Role

QGO provides China-side coordination and execution support for overseas buyers, sourcing consultants, trade show visitors, business associations, corporate visitors and business partners.

Depending on the confirmed project scope, services may include:

  • airport, railway station or local transportation coordination;
  • vehicle and driver arrangements;
  • business interpreter coordination;
  • accommodation coordination;
  • confirmed factory or supplier visit scheduling;
  • trade show and business meeting support;
  • preliminary factory or supplier search and outreach;
  • itinerary and route coordination;
  • local communication and project support; and
  • remote coordination during the agreed service period.

Only the services expressly stated in the applicable proposal, agreement or invoice are included.

2. Services QGO Does Not Provide

Unless expressly agreed in a separate written contract, QGO does not act as:

  • a purchasing or procurement agent;
  • a negotiation agent authorised to bind the client;
  • a seller or manufacturer of goods;
  • a formal factory auditor;
  • a product quality inspector;
  • a laboratory, certification or compliance body;
  • a customs broker or freight forwarder;
  • a legal, tax, immigration or financial adviser;
  • an employment or recruitment agency; or
  • a guarantor of supplier quality, price, capacity, access, production, delivery or transaction results.

Clients remain responsible for their own commercial, legal, financial and technical decisions.

3. Factory and Supplier Information

Factory or supplier information may be obtained from public sources, referrals, databases, local contacts or direct outreach.

QGO will take reasonable steps appropriate to the confirmed project scope, but does not guarantee that:

  • a supplier is genuine, licensed, financially stable or suitable;
  • information supplied by a factory or supplier is complete or accurate;
  • a factory will accept or maintain a visit appointment;
  • a supplier will meet the client’s quality, price or delivery expectations;
  • products will comply with the laws or standards of the client’s destination market; or
  • a commercial transaction will be completed successfully.

Clients should conduct their own due diligence and obtain independent legal, technical, financial, quality and compliance advice where appropriate.

4. Third-Party Providers

Hotels, drivers, interpreters, factories, suppliers, venues, ticket providers and other service providers may be independent third parties.

QGO may coordinate or arrange their services as part of the confirmed project scope, but does not control all actions, omissions, availability or operational decisions of independent third parties.

Third-party services may be subject to separate provider terms, cancellation rules, security requirements and availability restrictions.

5. Client Responsibilities

The client is responsible for:

  • providing complete, accurate and timely project information;
  • confirming objectives, industries, products, cities, dates and visitor numbers;
  • reviewing proposals, quotations, itineraries and supplier information;
  • making timely decisions and approvals;
  • holding valid passports, visas, permits, insurance and travel documents;
  • complying with applicable laws, venue rules and factory security requirements;
  • attending confirmed meetings on time;
  • protecting confidential information received from QGO or third parties;
  • conducting appropriate supplier and product due diligence; and
  • paying agreed fees and third-party costs when due.

Delays or additional costs caused by incomplete information, late approvals, schedule changes or client non-attendance may require a revised scope or additional fee.

6. Project Confirmation

Website descriptions and package prices are starting references only.

A project is not confirmed merely because:

  • a form has been submitted;
  • a WhatsApp conversation has started;
  • a preliminary price has been discussed;
  • an invoice has been created; or
  • a payment link has been issued.

The confirmed scope is determined by the applicable proposal, agreement, project confirmation and invoice.

7. Changes and Out-of-Scope Work

Requests that fall outside the confirmed scope may require:

  • a revised proposal;
  • an additional service fee;
  • additional third-party costs;
  • a change fee;
  • an updated itinerary; or
  • additional time.

QGO will seek client approval before undertaking material additional work whenever reasonably practicable.

8. Availability and Timing

All schedules, visits, interpreters, vehicles, accommodation and third-party arrangements are subject to availability.

QGO will use reasonable efforts to deliver the confirmed services but cannot guarantee that every meeting, factory visit or third-party arrangement will proceed exactly as planned.

Changes may occur because of supplier decisions, local conditions, transport disruption, venue rules, illness, weather, public measures or other circumstances outside QGO’s reasonable control.

9. 24-Hour Support

Twenty-four-hour coordination or priority support is included only when expressly stated in the applicable proposal, agreement or invoice.

Where included, 24-hour support means reasonable remote coordination availability for urgent project-related matters. It does not guarantee an immediate physical response at every location or the availability of every third-party provider.

10. Confidentiality

Each party should protect confidential commercial, technical, supplier and project information received from the other party.

QGO may disclose relevant information to employees, contractors and service providers where reasonably necessary to perform the confirmed services.

11. Compliance and Ethical Conduct

QGO will not knowingly facilitate unlawful payments, bribery, fraud, sanctions violations, intellectual property infringement or other unlawful activity.

QGO may suspend or refuse a request that appears unlawful, unsafe, misleading or inconsistent with the confirmed project scope.

12. Events Outside Reasonable Control

QGO is not responsible for delay or failure caused by events outside its reasonable control, including natural disasters, severe weather, epidemic measures, government action, transport interruption, civil disturbance, venue closure, factory cancellation, labour disruption, telecommunications failure or similar events.

QGO will use reasonable efforts to notify the client and identify practical alternatives where available.

13. No Guaranteed Commercial Outcome

QGO coordinates project execution but does not guarantee:

  • supplier selection;
  • negotiated prices;
  • product quality;
  • regulatory approval;
  • purchase order acceptance;
  • business partnerships;
  • investment outcomes; or
  • transaction profitability.

15. Applicable Law

Unless a separately signed agreement states otherwise, this Service Scope is governed by the laws of the Hong Kong Special Administrative Region.

Nothing in this Service Scope excludes or restricts any right or liability that cannot lawfully be excluded or restricted.
